Practical resources

Editable working tools for institutional teams. Use them to organise a task, assign responsibility and preserve the information behind a decision. Each resource includes instructions and can be adapted to the institution's needs.

Institutional partnership brief

Bring the essential facts of a proposed collaboration into one working document: the objective, provision, prospective partner role, institutional contribution, resources and decision process.

The brief helps colleagues and prospective partners understand the proposal without mistaking an exploratory discussion for an approved agreement. It includes prompts for unresolved questions and the authority needed to progress.

Format: Markdown, editable as plain text or in a compatible editor. Version: 1.0.

Institutional evidence register

Record what an evidence item supports, where the source is maintained, who owns it and when it should be reviewed. The register distinguishes current material, working drafts and questions requiring follow-up.

Illustrative rows demonstrate the field structure and are clearly labelled. Remove them before entering real institutional records. The register stores references; sensitive source documents should remain in an appropriately controlled location.

Format: CSV, compatible with spreadsheet software. Version: 1.0.

Institutional self-review action plan

Connect an identified issue with an action, responsible person, resources, target date and evidence of implementation. The plan helps a team distinguish a proposed action from one completed and reviewed.

Use the fields to record dependencies and the person able to accept the result. A date or completed checkbox alone does not explain whether the original issue has been addressed.

Format: CSV, compatible with spreadsheet software. Version: 1.0.

Use and maintain the tools

Appoint a document owner, keep a current working version and agree who may make changes. Adapt field names where necessary, but retain enough information to explain the source, decision and responsibility behind an entry.

Do not place unnecessary learner, health, identity or confidential commercial information in a shared working file. Use references to controlled records where possible and set access according to the task.

The tools are provided for internal institutional use and may be adapted for that purpose. Preserve the source notice when redistributing an adapted version outside your organisation. IESG and third-party names or marks must not be used to imply approval of the completed tool.

Relationship to official documents

These are IESG working aids. They are not ICEQC standards, official application forms or certification results. For an ICEQC activity, use the current official documents to establish the applicable requirements and formal process.

Accessibility and other formats

The Markdown file is plain text; CSV files can be opened in spreadsheet software or a text editor. If you have difficulty using a resource, email enquiries@iepx.org with the file name and the format you need.

Discuss a specific institutional task

The tools can support your own work. If the activity needs institution-specific assistance, explain the task, existing arrangements and the output your team requires.
