Continuing certification support

Keep institutional records and follow-up responsibilities current after an initial certification process. IESG can assist with the coordination of continuing preparation, material changes and later review activity within the applicable support arrangement.

Continuing institutional responsibility

Education provision changes as people, programmes, sites and delivery arrangements change. An institution needs a way to identify which developments affect its records, commitments and certification scope.

Continuing support works with the institution's own management arrangements. The engagement sets out the activities included and the decisions that remain with the institution or ICEQC.

Plan internal review

Identify the people responsible for checking the continuing accuracy of the scope description, evidence register and public information. Review should focus on the activity actually delivered and the changes since the previous check.

The institution's existing governance and quality processes can provide the basis. Additional records should fill a necessary gap rather than create a separate reporting exercise with no operational use.

Coordinate information for surveillance or review

We prepare a schedule around the official process, identifying the material, owners, internal review points and transmission route. Formal surveillance, scope-change and renewal packages follow ICEQC's authorised regional-partner route after institutional confirmation.

Where information is requested, retain the original request and distinguish its requirements from the institution's own preparation tasks. Planning dates help organise work; official timing and case status must come from the responsible authority.

Recognise material changes

A change can affect the legal entity, sites, provision, delivery method, responsible partners or public description of the certified activity. The institution should consider whether a change needs to be reported or formally assessed under the applicable rules.

A change log can record the proposal, decision-maker, intended effective date, affected records and any external confirmation needed. An application to change scope should not be treated as approval to use the wider claim.

Prepare for renewal

Renewal preparation should consider the current provision and governing documents rather than simply reproduce an earlier file. Check whether the underlying information remains correct, whether versions have changed and which operating records are relevant to the period concerned.

Support can organise the preparation and coordination record. It does not extend an expiry date or determine a certification decision.

Maintain accurate public claims

Check the legal holder, certified activity and current status before making or renewing a certification claim. Public text should be revised when the official scope or status changes, including in downloadable material and partner-facing communications.

Continuing-support records

We agree the records needed for continuing work: a responsibility schedule, evidence-update record, change log, preparation calendar or request tracker. Each has an identified owner and review trigger.

Optional continuing assistance is agreed on its own merits. Purchasing it does not determine official status or remove the institution's responsibility to follow the applicable process.

Plan your next review

Identify the institution, existing official reference and the work your team expects to manage. Include any planned change so that the support discussion addresses the right activity.
